Hello Friends,

Take time now to make plans to start your third quarter off strong. Discuss with your team the plans to reach your production, collection, new patient and marketing goals. Encourage them to share any thoughts or ideas on how you can work to make the third quarter your best yet. Here’s a fun idea…July is National Grilling Month – Why not have a BBQ themed lunch with the team to discuss your marketing plans? Remember to include plans on how to fill and keep the schedule full for August and September as they are typically slower months for some offices.

Doctors, if you don’t already know, I strongly urge you to be aware of your office numbers. Know what’s going on with your patient and insurance aging reports, your daily patient collections, your new patient #’s, referral sources, hygiene continuing care reports, incomplete treatment reports and what internal & external marketing is working and what needs to be eliminated. Don’t leave these things to chance or assume they’re healthy numbers or maybe even beyond repair.

Would you like a few ideas to boost production, collection and new patient numbers? I’ll share with you a couple of ideas to do just that as well as exceed your current patients’ expectations.

July is National Ice Cream Month! Your product/service feature is Desensitizing agents to treat tooth sensitivity. Your give-away treat is free ice cream.

Yes, I’ve shared this one in the past but I’m sharing it again because it is so easy and effective not to mention, delicious.

Why is it so effective? Research finds that 1 in 8 Americans suffer from sensitive teeth. It’s safe to say that many of your patients may be suffering from tooth sensitivity or they know someone who does.

How is it easy? It’s a marketing plan that requires little time, no extra cost and will boost production and exceed your patients (and potential patients) expectations!

How will offering free ice cream not incur any extra cost to you? You simply visit your local ice cream shop and ask them to donate some free ice cream cone certificates. In return, you’ll be advertising for them on your social media site and in the office. Your patients, when they come in for a visit can enter a drawing to win a free ice cream courtesy of “local ice cream shop”. Depending how many free ice cream cone certificates you get donated you can draw one or two names each week for a free ice cream cone.

Now you may not have many of your patients speaking up to say they’re suffering from tooth sensitivity when they eat cold treats or drink cold beverages.

This is what you do, during the month of July have your team members wear buttons that say: Eating Ice Cream Shouldn’t Hurt

Your patients are sure to ask questions about the buttons. What an easy way to open up a discussion about tooth sensitivity.

Dental Marketing Ideas for Teacher Appreciation and Nurses Week

Hello Friends,

May 1st – 7th is Teacher Appreciation Week. It’s always a really busy and fun week for me as I typically help to make it a special week for all of the teachers at my children’s school.

It is also a great opportunity for dental offices to reach out to the teachers in their community.

How can you do that? Here are a few ideas for you:

First, let’s start with any of your patients that are teachers.

Pull a report with any patients that are school teachers and send “We Appreciate You” cards to them. Unexpected and very much welcomed.

Put together some little thank you gifts to give your teacher patients when they come in for their dental appointment during the month of May. See my Pinterest Board for a ton of ideas: Gift Ideas for School Teachers

Second, reach out to the teachers in the community that are not “yet” your patients at your office.

Host a Favorite Teacher Contest. Invite local students to nominate their favorite teacher. Winning teacher gets FREE teeth whitening and a certificate stating they won for favorite teacher. The classroom with the winning teacher gets a gift card for school supplies or pizza/ice cream lunch.

You could easily ask for donations from local businesses to add to the winning teachers prize or for the classroom.

If you prefer, the above ideas could easily be used to celebrate National Nurses day and week – May 6th -12th. Instead of the teachers and schools, you’ll be reaching out to the nurses at local doctors offices, clinics and hospitals.

There are so many ways to celebrate teacher appreciation and nurses week in your dental office. Are you looking to grow your pediatric dental office? Well, get your pen and paper ready because I’m going to share with you several dental marketing ideas for your pediatric office. Better yet, you might want to print out this article and discuss these idea’s with your team. Together, come up with a marketing plan that will help to make this your Best Year Yet!

Before we get started, keep in mind that the way to mom and dads heart is to treat their children well. The way to keep mom and dad loyal to your office is to treat their children exceptionally well. Why? Happy Kids = Happy Parents.  As a mother of two children, I know this to be TRUE! 

Here you go, Dental Marketing Ideas for the Pediatric Office…

how to bring in new pediatric dental patients?

Open House Kid’s Day (In Office) – 

  • Choose a theme: Carnival, BBQ, Luau, Movie/TV/Book Characters, 50’s, etc.
  • Activities: Face Painting, Balloon Twisting, Hula Hoop Contest, Karaoke, Crafts, Carnival-like games, Photo booth/props, etc. (Depending on if the event is inside or outside the office)
  • Prize: Have a drawing to win a gift basket, gift card, bicycle, or team up with a local business for a donated prize.
  • Food: Hot dogs, Chips, Ice Cream/Popsicle, Water, Popcorn, etc.
  • Advertise: Promote via social media sites, local newspapers, in-office fliers, on continuing care postcards,  and emails/texts to your current patients.
  • Option: Book appointments in hygiene only, this way, you’ll have production for the day and doctor will be free to visit with guests and still do the exams.
  • Memories: Take lots of pictures during the event to share on your social media sites and in your newsletters.

Host Patient Appreciation Events (Outside of office)

  • Skating Rink, Indoor Bounce/Trampoline, Movie Theater, Public Pool, Bowling, Local Park, etc. Invite your patients to bring a friend. Be sure to have imprinted give-away’s and information about your office at these events. Encourage all attendees to visit and like your social media pages.

Fun Dress Up/Theme Days –

What: Decorate the office, team dresses up, small prize give away’s and snacks.

Theme Idea’s: Luau, Superhero, Disney, Western, Carnival, Sports teams, (visit party stores or orientaltrading.com for a ton of theme ideas)

Children’s Dental Health Month

In-Office

  • Field Trips – Invite local schools and daycare’s for a free field trip to the dentist. (Serve a Healthy snack such as grapes, apple slices, string cheese and small bottled water, Present Education stations/demonstrations-visit the ADA website and Pinterest for great idea’s for presentations,  Toothbrush bags for the students and teachers/parents, show a short Video while the kids eat their snack)

Outside the office –

  • What: On-site Short Dental Education Presentations/Demonstrations and Toothbrush gift bags for the kids and teachers/parents.
  • Where: School’s, Daycare’s, Library, Mom groups, etc.

New Patient Experience

Give tour of the office, send a welcome card after first visit to the child (Kids LOVE to get mail), give a new patient gift bag, sign child up to join your office kids club/team.

Participate in local Family Health & Wellness Fairs –

See  Health and Wellness Fairs for some great idea’s.

Visit Local Businesses

  • Where: Pediatricians, Dental Offices, Children’s stores, Dance studios,Salons, Etc.
  • What: Introductions, Referral pads/cards, Small Gifts (Imprinted toothbrushes, flosscards, lip balm, etc.) Food (Bagels, Donuts, Fruit, Pies, etc), Contest/Drawing for Prizes, Lunch-n- Learn, etc.  TIP: When visiting general dentist and pediatrician offices, always treat their reception team wonderfully… if your goal is to meet the doctors and get patient referrals, you want/need them to like you. 😉

Back-To-School/School Break Visits –

Set aside some back-to-school and/or breaks from school special days in the office. Special pricing or promotion on Sealants, Ortho, Fluoride, etc. Consider doing a drawing for a Backpack filled with school supplies. Contest:  nominate your favorite teacher (use social media sites to promote), prize idea’s for winning teacher: Breakfast/Lunch at the school, free teeth whitening, or team up with local businesses for prize donations.

Book Drive 

Collect new or gently used books to donate to your local library or schools. Promote via social media sites, local newspapers, in-office fliers, on continuing care postcards and to your current patients.

  • Incentive: Gift Basket (put together a fun themed gift basket) Every person that donates books can enter a drawing to win a gift basket. You do not need to be a patient of record to donate books.
  • Once you have collected all the books:
  • Take pictures of the books
  • Put together toothbrush gift bags w/office information and special offer to deliver to the employees of the library and or school.
  • Deliver books and gift bags to the library and or schools.

Reception Room

In addition to being clean and with up-to-date decor consider having in your reception room: Video games (Stationary and/or handheld devices), Books (lending library), TV (children’s movies and short dental education videos) Wall of fame, digital photo frame or photo album filled with pictures of your patients. Photo “booth” area with backdrop and photo props. Tablet/Cell Phone charging station for parents.

Kid’s Club/Team

I’m not a fan of “no cavity” clubs because I like to see all children have the opportunity to be part of the office kids club/team and sometimes, a child’s unfortunate cavity is the fault of the parent. Have a club/team that is just for fun and that rewards healthy habits. Take a picture of each child to hang on your wall of fame or in a digital photo frame or picture album, as well as for your website, newsletter and/or social media sites. Present child with a certificate/wristband/t-shirt when they sign up for your kids club. Have monthly contests/drawings that the children can enter to win prizes.

Give-Away’s

Toothbrushes, Toothpaste, Floss/floss threaders, Toys, Puzzles, Kites, Books, Gift cards, Bubbles, Stickers, Balloons, etc. Kids love to leave the office with a special little gift. 🙂

Social Media –

Utilize social media platforms to keep your current patients up to date with all of your office happenings, to build relationships with local businesses and connect with potential patients. See Social Media Site Posting Content Idea’s

Answer Your Phone – 

Sure, you know that the office phone should be answered within the first couple of rings by an unhurried, friendly scheduling coordinator whose goal is to schedule an appointment and wow the caller with excellent customer service but if you want to see greater results from your marketing efforts, then you must be certain that your office phone is answered during times when patients are calling. Minimum: Monday – Saturday 8:00am – 6:00pm, including lunch hours.  Invest in your entire team by providing training on how to effectively answer the phone. 

Forward your calls to an answering service if needed. Having a live person for the caller to talk to is so much better than your caller getting an answering machine or voice mail and then deciding to call the next dental office on their list in hopes of talking to a “live” person. 

Also, despite our best intentions to not put a caller on hold we know that it still happens from time to time. Consider having an on hold message for these times, this way, you’ll have the opportunity to share office information, special offers, social media sites, etc. with the caller rather than them listen to nothing, an annoying beeping sound or lame music. Missed calls and calls poorly handled are missed opportunities and those missed opportunities mean missed dollars…big dollars!

Have a variety of family related boards such as dental health tips, recipes, crafts, party ideas, healthy snacks, book idea’s and more. Feel free to check out my Pinterest boards for idea’s.

Sponsor local sport teams –Free or reduced rate for mouthguards for local sports teams. 

DistractionsTV’s in the treatment rooms, Ceiling Tile Scenery, Etc. Make the experience as comfortable and enjoyable as possible for every child.

Contests/Drawing Coloring contests, Monthly Gift Card/Gift Basket drawing, Wristband, etc.

Post-Op Calls – Each evening place a “just wanted to see how well you’re doing call” to any patient that had an extraction or maybe was nervous or had a rough time during their visit.

First “Happy” Visit ExperienceTake picture of child in the chair (maybe holding a first visit sign or certificate) and give to parent in a cute picture frame.

I know this is a lot of information but if you’re serious about wanting to grow your practice, then it’s worth it to take the time to market your practice effectively using some or all of the idea’s that I have shared with you today. Remember, if you’re feeling overwhelmed, you don’t have to do this on your own, I’m here to help.

Before I go, here are a few Important Reminders: If you’re going to take the time to visit schools and local businesses be sure that you leave them with information about your office, special offers and imprinted gifts with your office name, phone number and website.

Also, keep track of your events, the businesses you visit, any donation requests, etc. Put specific referral source codes in to your software system, this way, when you ask “How did you hear about us?” you have the correct referral code to enter in and you’ll be able to acknowledge that source with a thank you as well as know what marketing is working to bring in new patients.

Dental Practice Management and Marketing Idea’s for March (2016)

Hello Friends,

The month of March is your opportunity to end the first quarter of 2016 stronger than ever. If you haven’t done so already, put down in writing your practice management and marketing plans for March. I will give you several different idea’s to help get you started.

Note: March is an especially important month for any of you that typically struggle with your schedule during the month of September. Be sure to pre-appoint your March hygiene patients for their 6 month continuing care appointments. (If this isn’t already being done with your hygiene patients, make it your goal to schedule their next appt. while they are there in the office.)

March is Employee Spirit Month
If you want to increase employee trust, creativity, teamwork, engagement and productivity, then it’s time to have some fun, commend more, improve communication and huddle up!  

– Have some FUN! –  Games, contests, competitions and food are all great ways to have more fun at the office.

  • Lunch: Every one bring a dish to pass or doctor orders lunch in for the team.
  • Excursion: Bowling, Dinner Out, Shopping, Painting, Spa, etc
  • Trivia Questions: Play a trivia game about procedures, office policy, telephone verbiage, etc. Winners earn prizes.
  • Prizes: Gift Cards, Cash or PTO
  • Video: Make a fun music/dance video with the team.
  • Employee of the Month: Each month, vote for team member of the month.

– Commendation – Commend a fellow team member when you catch them doing something “right”. Commendation boosts morale.  (Tip: Employers, commend & reward the behavior and actions that you want to see more of.)

– Communication – Reduce employee frustrations with excellent communication.  When new procedures or technology is being introduced be certain that every team member is made aware and educated. Employee expectations and Office changes should be clearly communicated to the entire team… no more, “I didn’t know” or “No one told me!” Share your office goals for production, collections, new patients and marketing plans. This helps to keep everyone on the same page and working toward the same goals.

– Huddle Up – The morning meeting is essential for a successful day. If you tried in the past to have a morning huddle and it didn’t work out… try again! However, this time, please follow these tried and true suggestions & tips for morning meeting success.

National Kidney Month – Good dental health isn’t just about preventing cavities and keeping your gums healthy. Both tooth decay and gum disease can lead to infections that can cause problems for people with  kidney disease.  A study in the Journal of Clinical Periodontology reported that people with kidney disease and those on dialysis are more likely to have periodontal disease and other oral health problems than the general population.

If your office is planning on participating in a community health and  wellness fair or expo, I have some ideas to help you make it a big success.

Health Fair settings can be challenging for a couple of different reasons.

One, there are a lot of vendors and booths/displays so you’re going to want to make sure that your display table stands out. That it draws the attention of the guests. Second, most people are there for something free. No problem for you,  because they won’t leave your display empty handed.

Many wonder what they should talk about and what sort of items should they give away?

How about these ideas…

Keep your table neat but attractive – too much information and “stuff” will be overwhelming in that setting.

On that sheet include some of the other services you offer. Also, include your social media sites and of course all your office contact info.

Make certain that you’ll have the ability to schedule complimentary consultations and New Patient Hygiene visits right there on the spot. (Access to schedule…at the very least a copy of the schedule for the next 2 weeks.)

Very Important:  Your display table must include friendly, smiling,  approachable and outgoing team members. (also wearing, professional & clean attire)

Use a full sheet of paper with prize options and large space for them to fill out their name, email, address & phone (to be used later to send nice to meet you cards).

Should you decide to use a Prize Wheel instead of Raffle/Drawing be sure to find another way to capture their information so you can follow up with a “pleasure to meet you” thank you card after the event.

Encourage attendees to “like” your office Facebook page and “follow” your office on Twitter, Instagram and Pinterest. Perhaps you can offer some type of incentive/reward for visiting your social media sites.

Take a few minutes before and after the event to briefly introduce yourself to the other vendors and businesses at the expo. Give them a bag with some of your office freebies. This is a great opportunity to build relationships within your community.
