Set the Example – Lead by example.  Treat your employees how you would like them to treat your best patient! If you want to see positive change in your practice, you must consistently lead by example. It starts at the top. You set the tone for the day, make certain that it’s a happy & productive one.

Have FUN! – Have more fun in your office with Team Building Activities and Events! Here are some ideas to get you started…

In Office Fun: Potluck lunch, Ice Cream Truck, Carry out lunch (team choice), Crafts, Games, & Puzzles. Make little gifts that you can give out to your patients at their appointments.

Purchase a Team Building Activity book such as:  Quick Team-Building Activities for Busy Managers: 50 Exercises That Get Results in Just 15 Minutes.

Fun with Social Media – Utilize your social media pages to show your patients and potential patients what a fun office you have.

What: Decorate the office, team dresses up, small prize giveaways and snacks.

Continuing Education – Continuing education, not just for the providers but for the entire team is a wonderful way to ensure practice growth. Not to mention, it’s a great team-building experience, one that will give you a happier and motivated team. You can do this with in-office training, webinars, lunch and learns, and seminars/classes outside of the office.

Consider incorporating a dental continuing education class with a fun event, for example CPR Course and Pool Party.

You may want to print out this article and discuss these ideas with your team. Together, come up with a  plan that will help to make this your Best Year Yet!

Before we get started, keep in mind that the way to mom and dads’ heart is to treat their children well. The way to keep mom and dad loyal to your office is to treat their children exceptionally well. Why? Happy Kids = Happy Parents.  As a mother of two children, I know this to be TRUE!

 Reception Room –

  • Clean/Well-maintained
  • Up-To-Date Décor
  • Video Games – Stationary or handheld devices
  • Books – Lending library bookshelf.
  • TV (childrens movies and short dental education videos)
  • Pictures – Wall of fame, digital photo frame or photo album filled with pictures of your patients.
  • Photo “booth” area with backdrop and photo props.
  • Tablet/Cell Phone charging station for parents.
  • Bottled water (beverage & snack station for parents.)

 New Patient Experience –

  • Give tour of the office
  • Explain what they can expect during their visit
  • Free stuff – children love to pick out a prize after their visit.
  • Sign them up for your kids club/team.
  • Send them a welcome card after their first visit. Kids love to get mail!

Open House Kids Day (In Office) –

  • Choose a theme: Carnival, BBQ, Luau, Movie/TV/Book Characters, 50’s, etc.
  • Activities: Face Painting, Balloon Twisting, Hula Hoop Contest, Karaoke, Crafts, Carnival-like games, Photo booth/props, Bounce house, etc. (Depending on if the event is inside or outside the office)
  • Prize: Have a drawing to win a gift basket, gift card, bicycle, or team up with a local business for a donated prize.
  • Food: Hot dogs, Chips, Ice Cream/Popsicles, Water, Popcorn, etc.
  • Advertise: Promote via social media sites, local newspapers, in-office fliers, on continuing care postcards, and emails/texts to your current patients.
  • Option: Book appointments in hygiene only, this way, you’ll have production for the day and the doctor(s) will be free to visit with guests and still do the exams.
  • Memories: Take lots of pictures during the event to share on your social media sites, newsletters and media press release.

Host Patient Appreciation Events (Outside of office)

  • Skating Rink, Indoor Bounce/Trampoline, Movie Theater, Public Pool, Bowling, Local Park, etc. Invite your patients to bring a friend. Be sure to have imprinted give-aways and information about your office at these events. Encourage all attendees to visit and like your social media pages.

Fun Dress Up/Theme Days –

Outside the office –

  • What: On-site Short Dental Education Presentations/Demonstrations and Toothbrush gift bags for the kids and teachers/parents.
  • Where: Schools, Daycares, Library, Mom groups, etc.

Participate in local Family Health & Wellness Fairs –

See  Health and Wellness Fairs for some great ideas.

Visit Local Businesses –

  • Where: Pediatricians, Dental Offices, Children’s stores, Dance studios, Salons, Etc.
  • What: Introductions, Referral pads/business cards, Small Gifts (Imprinted toothbrushes, flosscards, lip balm, etc.) Food (Bagels, Donuts, Fruit, Pies, etc), Contest/Drawing for Prizes, Lunch-n- Learn, etc.  TIP: When visiting general dentist and pediatrician offices, always treat their reception team wonderfully… if your goal is to meet the doctors and get patient referrals, you want/need them to like you. 😉

  • Consider sending a food/drink/ice cream truck to local offices/businesses.

Back-To-School/School Break Visits –

Set aside some back-to-school and/or breaks from school special days in the office. Special pricing or promotions on Sealants, Ortho, Fluoride, Mouthguards, etc. Consider doing a drawing for a Backpack filled with school supplies. Contest:  nominate your favorite teacher (use social media sites to promote), prize ideas for winning teacher: Breakfast/Lunch at the school, free teeth whitening, or team up with local businesses for prize donations.

Book Drive 

Collect new or gently used books to donate to your local library or schools. Promote via social media sites, local newspapers, in-office fliers, on continuing care postcards and to your current patients.

  • Incentive: Gift Basket (put together a fun themed gift basket).  Every person that donates books can enter a drawing to win a gift basket. You do not need to be a patient of record to donate books.
  • Once you have collected all the books:
  • Take pictures of the books
  • Put together toothbrush gift bags w/office information and special offer to deliver to the employees of the library and or school.
  • Deliver books and gift bags to the library and or schools.

Kids Club/Team –

I’m not a fan of “no cavity” clubs because I like to see all children have the opportunity to be part of the office kids club/team and sometimes, a child’s unfortunate cavity is the fault of the parent. Have a club/team that is just for fun and that rewards healthy habits, report cards, community involvement, etc. Take a picture of each child to hang on your wall of fame or in a digital photo frame or picture album, as well as for your website, newsletter and/or social media sites. Present the child with a certificate/wristband/t-shirt when they sign up for your kids’ club. Have monthly contests/drawings that the children can enter to win prizes.

Give-Aways –

Toothbrushes, Toothpaste, Floss/floss threaders, Toys, Puzzles, Kites, Books, Gift Cards, Bubbles, Stickers, Balloons, Fidget Spinners, Kites, Small Stuffed Animals, Glow items, etc.  Children love to leave the office with a small treasure.

Referrals – 

Acknowledge all referrals with a thank you card/letter signed by the dental team. Consider offering thank you gifts/raffle items. Prize ideas: Gift Cards, Family get-away, Gift Baskets, Etc. See Gift Ideas – Pinterest Board

Social Media – 

Utilize social media platforms to keep your current patients up to date with all of your office happenings, to build relationships with local businesses and connect with potential patients. Be sure to connect with community mom groups and all kid-related businesses on your social media platforms. (See this Pinterest Board for a plethora of posting images.)

Facebook Videos Share (live) videos about brushing & flossing techniques, what to do in a dental emergency, why baby teeth are important, what age should a child first visit the dentist, how much sugar is in your favorite drink/cereal/snack, healthy snack ideas and so on.

Answer Your Phone – 

Sure, you know that the office phone should be answered within the first couple of rings by an unhurried, friendly scheduling coordinator whose goal is to schedule an appointment and wow the caller with excellent customer service but if you want to see greater results from your marketing efforts, then you must be certain that your office phone is answered during times when patients are calling. Minimum: Monday – Saturday 8:00am – 6:00pm, including lunch hours.  Invest in your entire team by providing training on how to effectively answer the phone.

Forward your calls to an answering service if needed. Having a live person for the caller to talk to is so much better than your caller getting an answering machine or voice mail and then deciding to call the next dental office on their list in hopes of talking to a “live” person.

Also, despite our best intentions to not put a caller on hold we know that it still happens from time to time. Consider having an on hold message for these times, this way, you’ll have the opportunity to share office information, special offers, social media sites, etc. with the caller rather than them listen to nothing, an annoying beeping sound or lame music. Missed calls and calls poorly handled are missed opportunities and those missed opportunities mean missed dollars…big dollars!

Blog/Website – Become the dental expert in your community. Post articles, videos and pictures on your website and social media sites about different dental treatments/products, sports safety, what to do in a dental emergency, etc. TIP: Pin your blog posts, articles, videos and pictures to your office Pinterest boards. Pinterest is a GREAT way to drive traffic to your website. If you don’t already have Pinterest for your office, add that to your to-do-list. Have a variety of family related boards such as dental health tips, recipes, crafts, party ideas, healthy snacks, book ideas and more. Feel free to check out my Pinterest boards for ideas.

Sponsor local sport teams –Free or reduced rate for mouthguards for local sports teams.

Distractions/Safety – TV’s in the treatment rooms, Ceiling Tile Scenery, Sunglasses, Etc. Make the experience as comfortable and enjoyable as possible for every child.

Contests/Drawing – Coloring contests, Monthly Gift Card/Gift Basket drawing, Wristband, Photo, Etc.

Post-Op Calls – Each evening place a “just wanted to see how well you’re doing call” to any patient that had an extraction or maybe was nervous or had a rough time during their visit.

First “Happy” Visit Experience – Take picture of child in the chair (holding a first visit sign or certificate) and give to parent in a cute picture frame. Share these pictures on your social media pages. Tag the parents in the post.

I know this is a lot of information but if you’re serious about wanting to grow your practice, then it’s worth it to take the time to market your practice effectively using some or all of the ideas that I have shared with you today. Remember, if you’re feeling overwhelmed, you don’t have to do this on your own, I’m here to help.

Reminder, keep track of your events, the businesses you visit, any donation requests, etc. Put specific referral source codes into your software system, this way, when you ask “How did you hear about us?” you have the correct referral code to enter in and you’ll be able to acknowledge that source with a thank you as well as know what marketing is working to bring in new patients.

How to Attract and Cultivate Loyal Dental Patients

Hello Friends,

Loyal patients, isn’t that what we want? Loyal patients’ that return year after year; accept your treatment recommendations, and refer their friends, family, neighbors, and co-workers? They are loyal to your dental practice because they like and trust you.  Sounds lovely, right?

How do you cultivate loyal dental patients?  It certainly isn’t enough to just bring new patients into the practice. You earn this privilege to serve them not just for a moment but for life.

Is it really a privilege to serve them? Absolutely! Any office that struggles with getting and keeping new patients, struggles with getting patients to accept their treatment recommendations, struggles with the hygiene department’s continuing care reports and Swiss cheese-like appointment schedules, struggles to keep up with all the record transfer requests from patients and their new dental office, will learn (hopefully quickly) that having loyal patients in your practice is an earned privilege. The aforementioned struggles are greatly reduced or eliminated altogether.

How do you earn this privilege?  Consistently exceed your patients’ expectations.

Here are 12 ways you can do this (in no particular order)…

(1) Pre-Op Calls – Doctors and Hygienists start building your relationship with a new patient before they step foot in the practice. Call and give a warm welcome, let them know you are looking forward to meeting them at their appointment.It’s unexpected, takes only a few minutes and will really make your new patient feel special.

(2) Post-Op Calls – Call your patients in the evening to see how well they are doing.

(3) Acknowledge and Reward Referrals  For every patient you must have a referral source, how else will you be able to track what marketing works and what doesn’t? Especially if you want more referrals from your current patients, then reward the behavior that you want to see more of. Acknowledge and Reward your referrals. If you don’t already have a protocol in place, make a plan as soon as possible. Please do me a favor, and avoid sending the same exact thank- you to the same patient every time they refer someone… no “groundhog-day thank you’s”. Change it up!

(4) Sending Cards – Keep Sympathy, Anniversary, Welcome, Congratulations, Thinking of you and Get Well cards on hand to send to your patients. As a team, remain alert to opportunities to surprise your patients with a card.

(5) Answering the Phone – This one is KEY to your success. All of your marketing efforts lead people to the phone first. Don’t waste your money by losing the potential patient or aggravating current patients due to poor telephone skills and habits. (6) Stay on Time – If you’re often running behind schedule, investigate as to the reason(s) why. If you know why, change whatever is causing you to stray from the schedule. Running behind schedule sends a message to your patients and your team that you don’t respect their time. Arriving at the office with plenty of time before the first scheduled patient, expecting your patients to arrive on time, never wait on hygiene exams, calculating the actual amount of time it takes to do procedures, controlling the schedules, these things will help you stay on time. Avoid working through lunch hours… everyone needs that time to recharge their batteries.

(7) Treat your employees the way you want them to treat your best patient – Communicate your goals, expectations, and vision with your team. Ask for their thoughts and ideas during your team meetings (speaking of meetings, be sure you’re having a daily morning huddle). Reward the behaviors you want to see more of. Be friendly, grateful and respectful even on the days when you don’t want to be. Do not share in or tolerate any negative gossip about team members or patients! Have FUN at work and on occasion, outside of work with employee appreciation events. Remember this, “Customers will never love a company until the employees love it first.”– Simon Sinek

Invest in your team with continuing education courses (ex: TBSE), and training for your computer software, telephone skills, social media sites, dental terminology, protocols, procedures, and technology.

(8) Stay in Touch – Find/Create ways to stay in touch with your patients via telephone calls, continuing care postcards/letters and on your social media sites.  Keep your name in front of them. SEE: Ten Ways to Stay in Touch with your Dental Patients

This includes incomplete treatment & continuing care reminders. Be sure to diligently follow-up on any patients that are due, past-due or have treatment planned but not scheduled. Don’t allow patients to fall through the cracks due to poor systems for follow-up.

(9) Deliver exceptional dental care – Give your patients the best care…always!Really, LISTEN to your patients. Don’t just see and treat “teeth”. Get to know your patients as individuals. Take an interest in them. What are their oral healthcare values & priorities?  What’s in it for them, not you or the office.

Be sure to keep current with dental technology, procedures, and products.

(10) Maintain a safe and clean office – Outside & Inside your office, you want to send a positive message about your care by keeping your office very clean, well maintained and welcoming. SEE Spring Clean Your Dental Office Using Your 5 Senses

(11) Be My Guest – Treat your patients as a guest in your home. From your first patient of the day to your last patient for the day, make them feel welcome.

(12) Honesty –  #1 Be honest with your patients regarding your fees and treatment. The quickest way to lose a patient is by them perceiving they’re being taken advantage of. Clearly, explain the cost to do the treatment and the cost of doing nothing. Estimate as closely as possible the patient’s financial portion for treatment. Some will tell you that you should never quote fees over the phone…I strongly disagree. Why? You’ll lose many of your shopper callers by refusing to answer their request for a quote on a fee. They’re calling because they need/want a particular service. They’re ready! Make it easy for them to choose your office by honestly answering their question. Because you cannot make an actual diagnosis over the phone, it’s impossible to know exactly what their cost will be, give a range of fees and offer for them to come in for a complimentary consultation.

#2 -When you mess up, admit it. No excuses or passing blame. Say you’re sorry and make it right. Consider keeping gift cards on hand to give to your patients when something doesn’t go as planned. (ex: lab case error, scheduling error, etc) Oh, if you find yourself apologizing a lot… see what you can do proactively to minimize future mistakes.

There are no short cuts, if your goal is to grow your practice with patients that are not merely satisfied but are delighted with your service and remain loyal to your practice, you must remain loyal to your goals, your mission, and your promise.

Spring Clean Your Dental Office Using Your 5 Senses

Hello Friends,

It’s that time of year when many take advantage of the warmer weather to “spring clean” their homes. This is also a great time to spring clean your dental practice.

I encourage you to make a checklist of all the areas in your office that need some spring cleaning.  I’ll help you get started by showing you how to take advantage of using your 5 senses while cleaning your office. This is by no means an exhaustive cleaning list but it will you give you ideas of where and what to clean.

Sight, Smell, Sound, Touch, and Taste.

SIGHT

What do your patients and potential patients see?

Areas to “see” include;

  1. Office Exterior
  • Signage
  • Windows
  • Landscape/Weeds
  • Garbage/Debris
  • Safety Concerns/Handicap accessibility
  1. Office Interior
  • Reception Room – Sit in your reception room, what do your patients see, touch, hear, smell and taste? Look high and low. What do you see? Dirty carpeting/flooring? Outdated magazines & decor? Stained or worn chairs? Peeling wallpaper? Cobwebs? Dusty plants/floral arrangements? Light bulbs that are out?  Look over at the front desk area, if you see a sliding glass window that is full of signs and papers telling your patients what to do and what not to do…remove them immediately! In fact, remove the glass. It’s very unwelcoming!
  • Restroom – Most if not all of your patients that visit your restroom WILL determine the quality and safety of your care from that experience. (Isn’t that true of you when you’re at a restaurant or any public restroom? No one wants the gas station bathroom experience…not even when you’re at a gas station.) Your restroom should be clean, nicely decorated and well stocked with quality paper products and soap.
  • Front Desk Area – Clutter represents indecisions. Make a decision to get rid of the clutter! (That includes any sticky notes attached to computer monitors, coats/sweaters hanging on the backs of chairs and fast-food drink containers sitting out on the counters.) Purchase hot/cold beverage tumblers, preferably with your office logo on them for your team members to use at their workstations – this looks much nicer than your patients seeing soda bottles or coffee shop cups.

While you’re visiting the front desk area, don’t forget about cleaning these areas too…

  • Current Protocols–  Hygiene Continuing Care, Incomplete Treatment Reports, Confirmation, A/R-Collections, Greetings, Patient Hand-off,  New Patient Welcomes, and Referral Thank you’s, etc.
  • Paper Communication Materials –Intake forms, Letterhead, HIPAA forms, Financial Policy & Postcards.
  • Job Responsibilities/Descriptions –Have every team member write down a detailed list of all of their job responsibilities. This is VERY helpful in determining more effective ways of doing things as well as finding out what is NOT being done.
  • Operatories – Sit in the treatment room chairs. What do you see? What do you hear? What do you taste? What do you smell? How do you feel? Again, your patients don’t measure the quality of care, they measure the quality of their experience. Keep your patients loyal to your practice by making certain they consistently have great experiences.
  • Closets – Make an inventory checklist. Throw away any expired or outdated products, equipment, manuals, etc. While you’re at it, if there is anything that isn’t be used properly due to lack of education or training, go ahead and schedule time for continuing education/training.
  •  Equipment/Technology – What needs repairs, upgrades or to be tossed? Computers, Software, Internet Speed & Access, Printers, Copiers, Telephone Systems, TV’s, Postage machines, including…dare I say, typewriters?
  • The Team – Appearance – Wear clothes that reflect the excellent care you give your patients. Professional, clean, and wrinkle-free clothes.  Clean hair, nails & body). Attitudes – Remove any toxic attitudes. Office Policies – Review and update employee benefits and expectations.

TIP: Make a cleaning schedule – who, what & when will the parking lot, restrooms & reception room be checked. This should be done several times throughout the day. Do not wait for the “cleaning person” to take care of those areas.

SMELL

  • Get rid of the dreaded dental office smell. There are products out there that will eliminate that smell without aggravating patients with allergies. Bake chocolate chip cookies if necessary.

SOUND

  • Keep the noise down! Patients want to be put at ease; they don’t want to hear the latest office gossip or a TV that is too loud. Avoid using patients’ full names or complaining about patients when you can be heard from the reception room or treatment chair.
  • Music – Consider playing music in the reception and treatment rooms. Wireless headphones will allow patients’ to listen to music or the TV while in the chair.
  • Telephone Greetings/Messages – What do your patients and potential patients’ “hear” when calling the office? Be sure that what they hear is a reflection of your goals and vision. See How To Effectively Answer The Dental Office Telephone

TASTE

  • Beverage Station in the reception room. Complimentary coffee, tea, cold bottled water, juice, etc. See this Pinterest board for beverage station design ideas.
  • Snacks – Offer snacks such as fruit, granola bars, etc. This is especially nice for patients that may have been in for a lengthy appointment and need a little boost in energy.
  • Allow patients to rinse with mouthwash before and after the appointment.
  • Offer pre-pasted toothbrushes for patients that didn’t have time to or forgot to brush their teeth before their appointment.

TOUCH

  • Reception Room – Is it comfortable & welcoming?

Reading Material – Have a variety of magazine and books for patients to read.

Temperature – Keep the temperature in the reception room at a comfortable setting.

  • Treatment Rooms – Be sure that your patients are comfortable during their visit.

Massage Pads on Chairs

Blankets (If you have a patient that is always cold, pop the blanket in the dryer for them right before appt).

Distractions –  (Movies, Music, Digital Aquarium, Etc.)

Give Painless Injections…always.

Put your patients at ease by talking with them before you start looking in their mouth.

  • Free Stuff – Give away items imprinted with your office name, website and phone number to each patient at their appointment. Such as; toothbrushes, magnets, calendars, pens and lip balm. Using your 5 senses, look closely at yourself, your team, the exterior, and interior of your building, all office systems, your lab, sterilization procedures, website & social media sites, marketing materials, marketing programs and the patient experience.

Your goal during your spring cleaning should be to find ways to consistently exceed your patients’ expectations and remove anything that is hindering you from reaching that goal.

Hello Friends,

Have you ever called a local business and were immediately put on hold only to hear every few seconds this crazy annoying beeping sound or there is dead silence? You can’t tell if you’ve been disconnected or are still on hold. Or what about the business that has a radio playing as their on-hold message, except it’s all static or playing some lame music?

A while back I set one of my clients up with a message on hold service, created beautiful, short custom marketing messages for them and on the first day of using it, a caller said: “Oh, I didn’t know you do teeth whitening.” See how that works?

Having a quality message on hold system set up is a good thing. Use this service as an opportunity to educate and inform your callers while they are on hold.

Every dental office has information, news, events, or dental health facts and services that should be highlighted while a caller is put on hold.

In addition to playing music, what are some things you can talk about?

  • Special Office Events
  • Dental Services & Products
  • Dental Health Tips
  • Office Hours
  • Social Media Site Information (Invite callers to “like” / “follow” the office.)
  • Financial Expectations
  • Website Address

A message on hold system allows you to advertise to your patients and keep them informed on the latest and greatest office happenings. It will also distract them from the fact that they’ve been put on hold.

Please make sure that you keep your content fresh! One of my doctors offices has had the same on hold message for years!! I think I have it memorized. Blah!

 There are many on hold messaging services out there.

My suggestions for what to look for in a message on hold service/system are: 

  • Quality Sound & Voice Talent.
  • Inexpensive – You don’t need to spend a lot of money!
  • Helpful – Exceptional Customer Service.
  • Allows you to change your message and music throughout the year.
  • Doesn’t lock you into a long contract.
  • Will help you create effective messages.
  • Makes the setup and process easy on you and your team!
  • Allows you to listen to sample messages before buying.

Those are my thoughts on using a message on hold service.

Since we’re talking about putting callers on hold, might I add, never, ever answer the phone with “hold please” or “can you hold?”! Take a quick second, find out who they are and what they need. People prefer not being put on hold.  If you are habitually needing to put callers on hold, you need more people answering the phones.
