This article will focus on Give Kids a Smile Day which is held annually on the first Friday in February.

Here are some ideas and tips to help you host a successful Give Kids A Smile day in your office.

The ADA website has an excellent Give Kids A Smile Toolbox http://www.ada.org/1584.aspx  It’s loaded with information such as Planning, Promotion, Forms, etc.

I wanted to share some additional ideas with you that have really helped to make this day a huge success and gain great patients long after the day is over.

Employee Participation – While you can’t mandate that your team volunteer to work this event, you can ask them to volunteer to work this very special day that will help many underserved children in the community. If you require your team to be there, you must pay them. GKAS day can be a very busy day for the office, I recommend ordering lunch in so team members can relax during their break.

Services/Procedures – Decide which free services you will be offering to the children on this day.

Advertising/Marketing your Event – Here are just a few ways to do this:

  • Social Media Pages ~ Make good use of all your social media platforms to share information about GKAS day.
  • TV News ~ Fax & Email a press release.
  • Fliers ~ Create fliers for in-office use and to give out to those in your community.

Even if your schedule is filling up, continue to advertise! Think of it as spreading seeds all over the community, getting your name in front of many people. You never know when those seeds will grow!!

Key things to remember/do before, during and after the event:

Show lots of Enthusiasm:

Be enthusiastic about this great event and how wonderful your office is!

Printed Materials:

In addition to the event information/details. Be sure to include: Doctors (office) Name, Address, Phone number, email, social media pages, and website.

Telephones:

  • Thank them for calling,  ask how they heard about the event (TRACK EVERY Callers Referral Source)
  • So your schedule is full for that day, what do you do when the phone continues to ring with people wanting to schedule an appointment for their child(ren)?
  • Take down their name, phone number, chief concern,  and let them know you will call if there are any changes in the schedule for that day. (Believe or not people sometimes cancel/no-show on this day!)
  • Just because you may not be able to see them on that day, offer them a different day for a complimentary consultation. Give them hope, give them a chance, they’ve probably been turned away from other offices.

Donations:

  • See if you can get donations from local businesses for the event.
  • Be sure to include any business that contributed to the event in your advertising & thank you’s after the event!

Day of Event:

  • Every child receives a goodie bag that includes an imprinted toothbrush.
  • Take pictures!!! (The ADA website has a release form)
  •  Enter all charges into the computer and write off as GKAS-Charity  (Record total donation dollars – the production)

Sadly, There will be some treatment that you won’t be able to do that day – give them a treatment plan and if they cannot afford treatment in your office you should refer them to a dental school or Medicaid office.  Have a list ready for them.

It may be the first visit to the dentist for some kids so they may be scared you really have to work at keeping them comfy & make it fun.

You might be surprised to see how many families end up becoming patients.

After the Event:

  • Send a thank you to the children after the event.
  • Send a thank you to any business that contributed to the event.
  • Submit a press release talking about the success of the event, pictures, and tips for parents to keep their child’s smile healthy.

Make your Give Kids a Smile Day a huge success!

It’s actually a really fun day – exhausting yes, and maybe a little heartbreaking but it feels good to volunteer your time and donate your services to help so many children in the community.

If you have any questions about hosting your Give Kids A Smile Event or would like help planning/advertising (press release & talking points)/marketing this special day, please contact me at bhaydenconsulting@gmail.com

Dental Marketing and Practice Management Ideas for February

Dental Marketing and Practice Management Ideas for February

Hello Friends,

Hope you all are having a wonderful start to 2017! With the goal of helping you have an amazing first quarter, I’m sharing some Marketing and Practice Management ideas that you can use during the month of February.

dental marketing ideas from betty hayden consulting

February is American Heart Month so Our focus this month is Heart Health.

(Note: If you’re looking for ideas to promote February’s Children’s Dental Health month and Give Kids A Smile Day please look to this post: Children’s Dental Health Month & GKAS Day)

Talking Points:

Dental Health And Heart Disease Are Related

Dental health and heart disease are intricately linked and the cost for avoiding advanced periodontal disease or even something as mild as gingivitis may very well prove to be the cause of serious medical problems in the future.

Be good to your heart beginning with good oral health.

 Special Days:

Women’s Heart Week: 1-7 – Focus this week on Women’s Heart Health. Have a special gift for your female patients. Hand out heart healthy tips for your patients to share w/their friends and family.

Tip: If you’re not currently taking your patients blood pressure at their appointments… make it a goal to start during the month of February.

Many people see their dentist more regularly than a physician and could get an early warning about high blood pressure when getting their teeth cleaned or having other dental treatment done.

Have fun with this heart theme!

If you would like me to create a Heart Health marketing campaign for your office, one that includes ideas for special offers, patient give-aways/drawings, community involvement, cross marketing with local businesses and patient education scripting, please contact me today at bhaydenconsulting@gmail.com

Here are 3 More Ways To Help Your Team and Patients Smile in February!

Even if a patient doesn’t have a dog surely they know someone who does…great way to get your office name out there!

International Boost Self-Esteem MonthFor your team: Negative people are the greatest destroyers of self-confidence and self-esteem. Avoid office negativity, it’s toxic and will infect your team – Rather, focus on and share positive experiences. See: How to Have a Happier Team

For your patients: A beautiful & healthy smile can boost one’s self-esteem and confidence.

Dental Marketing Ideas for your local School District

Hello Friends,

With back-to-school season in full swing, there is no need to wait until February’s Dental Health month to market to the local schools in your neighborhood, start early in the school year building relationships with school staff & the families that attend these schools.

These small marketing seeds that you plant, help to build relationships over time and you never know when and where those seeds will grow into new patients for your practice. (See Dental Marketing Seeds)

Here are just a few easy, inexpensive & effective ways for your dental office to reach out to your local schools.

dental marketing ideas for local schools betty hayden consulting

Donations – Use your office as a community donation site for school supplies or new & gently used books to be donated to local children and/or schools in need. Advertise in office, on your social media sites, to local businesses and the news media via press release that your office is collecting donations for school supplies or books.

This is a GREAT way to bring in potential new patients… when folks come into the office to drop off their donations, be sure to warmly welcome them, give a brief tour of the office, hand out small thank you gifts that are imprinted with your office information or have a raffle they can enter to win a prize. Prize ideas: themed gift basket, electric toothbrush, gift card, teeth whitening, etc. Invite local businesses to contribute something toward the prize.

Gifts for School Staff – Choose one, two, or more schools (depending on the size of the teaching staff) and deliver some treats to show your appreciation for the work they do in caring for the children in the community. Some ideas are: Breakfast, Lunch, Snacks, Toothbrush goodie bags, Lip balm, Little gifts, flowers, etc. Be sure that your office information is clearly imprinted on any toothbrushes or small gifts. See my Pinterest boards for gift ideas

AND/OR

Host a Favorite Teacher Contest. Invite local students to nominate their favorite teacher. Winning teacher gets FREE teeth whitening and a certificate stating they won for the favorite teacher contest. The classroom with the winning teacher gets a gift card for school supplies or pizza/ice cream lunch.

You could easily ask for donations from local businesses to add to the winning teachers prize or for the classroom.

This can be promoted via your office website, newsletters, postcards, emails, office social media sites, local newspapers and signs in your office.

Have fun with it and be sure to share lots of pictures on your social media pages.

Just a few more ideas…

Social Media Sites – Post school-related content to your social media sites, such as:

  • Back to School Tips
  • Healthy Lunch/Snack ideas
  • What to do in a Dental Emergency?
  • Ortho care while at school
  • Dental Health (importance of, regular check-ups, sealants, mouthguards, fluoride & braces)

Office Blog – Share short articles/videos on your office blog/website using the above topics.

Pinterest – On your office Pinterest page, create a school related board(s). See my Pinterest boards for ideas.

Book Fairs Many schools will be hosting book fairs this school year.  And if your local school(s) are anything like mine, these book fairs draw a very large crowd.

Create fun, interesting Bookmarks for your local schools that include your office contact information. Deliver these bookmarks as a gift to the local schools to use during their book fairs. Easy! Right?

Here’s another one, tooth bags. Make up some little bags with a “lost tooth” congratulations message from your office and space to write the child’s name. Deliver these bags to local elementary schools for them to keep on hand for when a student loses a tooth during the school day. Both of my kids have come home with a tooth wrapped in a napkin or in a plain ziplock bag. Why not take advantage of this opportunity to advertise your office?

For additional ideas to use with local schools see February’s Children’s Dental Health Month and October/November’s Candy Buy Back. Also, my Marketing Ideas for August has some nice ideas for you to use with students & teachers.

I have witnessed first hand just how effective marketing to local schools can be. The opportunity to bring in many new patient families to your practice is huge. If you are interested in hiring me to help your office create a custom marketing campaign, please contact me today at bhaydenconsulting@gmail.com for a complimentary consultation.

Hello Friends,

What does the start of 2016 look like for you? With a clear vision and plan, are you excited and hopeful for the opportunity to exceed last years production and collection goals?

Or

Are you concerned that it will be a repeat of last years disappointing numbers?

Last year did you struggle with any of the following?

  • Low treatment plan acceptance from your patients.
  • Not knowing your active and inactive patient numbers.
  • Hygiene continuing care reports were a nightmare.
  • Too many holes in the schedule.
  • Poor treatment presentation skills.
  • Too many patients left the practice and you don’t know why.
  • Not enough time to keep your office social media sites current.

Don’t struggle another minute, plan now to make 2016 your BEST year yet! Get whatever help and training you need and want to make the necessary improvements. Feel free to contact me for a complimentary, no obligation consultation at bhaydenconsulting@gmail.com.

Today, I’d like to help you tackle one of those struggles… your inactive patients. Let’s reactivate all of your patients that haven’t been in for one year or longer. The start of the new year is a great time to make a plan for reactivating your patients…. (attack that File Cabinet…or computer patient database!)

dental patient reactivation letter

Ideally, daily, weekly and monthly efforts should be made to develop and maintain relationships with your patients in order to keep them active. However, if for whatever reason your inactive patient database is growing – take steps now to welcome those patients back in to the schedule. You can start by sending a We Miss You reactivation letter.

The following letter can easily be customized to your practice:

WE MISS YOU!

Dear ,

You may not realize how long it has been since we’ve seen you.

We understand how hectic life can be, and it’s easy to put off a visit to the dentist.

We sincerely care about your dental health, and we’re concerned when you miss out on your regular dental visits. With regular check-ups and good home care, dentistry can help you maintain your oral health – and overall health.

Please call xxx xxx today to reserve your appointment and to take advantage of our “let’s get re-acquainted” offer:

Present this letter at your appointment and receive

$25 toward your dental treatment and a

complimentary oral cancer screening.

If you haven’t been in because you are seeing another dentist, please let us know. This way, we can update our records and we’ll know you’re receiving your all important dental care.

A welcoming smile is waiting for you!

Yours for better dental health,
Additional Suggestions:

  • Include a deadline to respond.
  • Use a handwritten colored envelope (Grab their attention!).
  • Have two offers: One for your patient and one for a friend, family member, co-worker or neighbor.
  • Make a call to the patients about a week after mailing the letter.
  • Be sure to document all attempts at contacting the patient and the response.
  • Include Social Media & Office Contact Information.

Dental Marketing Ideas for your local library – Part 2

hayden consulting dental marketing

Hello dental friends,

If your local library is anything like mine, they get a lot of traffic. People of all ages visiting from within the community. So why not start planting some marketing/advertising seeds at the library?

A while back I shared some ideas on how to market to your local library. Today, I have a few more ideas to share with you. ( I will include the ideas from the earlier post at the end of this one. )

Here are some special dates to help you  take advantage of this wonderful way to build a relationship with friends of the library:

National Book Month – October

National Friends of Libraries Week – October 15-21

Library Lovers Month – February

School Library Month – April

National Library Workers Day – April 11

Get Caught Reading Month – May

Children’s Book Week – May 1-7

Reading Is Fun Week – May 14-20

New & Gently Used Book Drive:

Collect new or gently used books to donate to your local library.

Invite patients and non-patients to come by the office and donate books. Promote this event via your social media sites, the local newspapers, in-office fliers, on continuing care postcards and to your patients when they come in for their appts.

Incentive: Gift Basket or Gift Card (put together a fun themed gift basket)-  Every person that donates books can enter a drawing to win the gift basket or gift card.

Once you have collected all of the books…

Take a picture of the donated books. Put together toothbrush gift bags w/office information and a special offer for library employees to deliver with the books.  Send a press release to your local newspaper with pictures about your book drive and the results.

Library Events Calendar – Check your library’s event/programs calendar to see how you can be involved or help promote upcoming events and programs.

Visit the Library – Offer to come in for a dental health presentation/demonstration/science experiment. Similar to what you might do during Children’s Dental Month.

Or offer to have the dentist come in during story-time to read a dental related book or two.

Library Social Media Sites – Be sure to comment on, like and share posts from your library’s social media sites on behalf of your office social media pages.

Here are the idea’s from the post a few months ago…

Bookmarks – Create fun, interesting Bookmarks for your local library that include your office contact information. Deliver these bookmarks as a gift to the library to give away during their programs and events.

Toothbrush bags – Throughout the year the library hosts several events that bring in people of all ages. Why not make up some toothbrush bags for them to hand out at some of these events. Be sure to use imprinted toothbrushes.

Lip Balm – Personalized lip balm is a great give away! It’s inexpensive too. Lip Balm Express is one of my favorite companies.

PencilsImprinted pencils that the children can use to fill in their reading logs.

Prizes – During special library events, they may offer little prizes to the children. Why not donate Little Prizes that they can give away to the children. If you get individually wrapped prizes be sure to place a label on them that says Compliments of your office name. If they are not individually wrapped, be sure to add some type of tag to the prize that includes your office contact information.

Act now to get your name in front of all the people in your community that will be visiting your local library.

Some office’s express concern that they just don’t have time to implement any new marketing/advertising ideas. If that’s true with your office, please contact me. I can help! bhaydenconsulting@gmail.com

If you have any dental marketing questions that I can help you answer, please comment below.
