This article will focus on Give Kids a Smile Day which is held annually on the first Friday in February.

Here are some ideas and tips to help you host a successful Give Kids A Smile day in your office.

The ADA website has an excellent Give Kids A Smile Toolbox http://www.ada.org/1584.aspx  It’s loaded with information such as Planning, Promotion, Forms, etc.

I wanted to share some additional ideas with you that have really helped to make this day a huge success and gain great patients long after the day is over.

Employee Participation – While you can’t mandate that your team volunteer to work this event, you can ask them to volunteer to work this very special day that will help many underserved children in the community. If you require your team to be there, you must pay them. GKAS day can be a very busy day for the office, I recommend ordering lunch in so team members can relax during their break.

Services/Procedures – Decide which free services you will be offering to the children on this day.

Advertising/Marketing your Event – Here are just a few ways to do this:

  • Social Media Pages ~ Make good use of all your social media platforms to share information about GKAS day.
  • TV News ~ Fax & Email a press release.
  • Fliers ~ Create fliers for in-office use and to give out to those in your community.

Even if your schedule is filling up, continue to advertise! Think of it as spreading seeds all over the community, getting your name in front of many people. You never know when those seeds will grow!!

Key things to remember/do before, during and after the event:

Show lots of Enthusiasm:  

Be enthusiastic about this great event and how wonderful your office is!

Printed Materials:

In addition to the event information/details. Be sure to include: Doctors (office) Name, Address, Phone number, email, social media pages, and website.

Telephones:

  • Thank them for calling,  ask how they heard about the event (TRACK EVERY Callers Referral Source)
  • So your schedule is full for that day, what do you do when the phone continues to ring with people wanting to schedule an appointment for their child(ren)?
  • Take down their name, phone number, chief concern,  and let them know you will call if there are any changes in the schedule for that day. (Believe or not people sometimes cancel/no-show on this day!)
  • Just because you may not be able to see them on that day, offer them a different day for a complimentary consultation. Give them hope, give them a chance, they’ve probably been turned away from other offices.

Donations:

  • See if you can get donations from local businesses for the event.
  • Be sure to include any business that contributed to the event in your advertising & thank you’s after the event!

Day of Event:

  • Every child receives a goodie bag that includes an imprinted toothbrush.
  • Take pictures!!! (The ADA website has a release form)
  •  Enter all charges into the computer and write off as GKAS-Charity  (Record total donation dollars – the production)

Sadly, There will be some treatment that you won’t be able to do that day – give them a treatment plan and if they cannot afford treatment in your office you should refer them to a dental school or Medicaid office.  Have a list ready for them.

It may be the first visit to the dentist for some kids so they may be scared you really have to work at keeping them comfy & make it fun.

You might be surprised to see how many families end up becoming patients.

After the Event:

  • Send a thank you to the children after the event.
  • Send a thank you to any business that contributed to the event.
  • Submit a press release talking about the success of the event, pictures, and tips for parents to keep their child’s smile healthy.

Make your Give Kids a Smile Day a huge success!

 It’s actually a really fun day – exhausting yes, and maybe a little heartbreaking but it feels good to volunteer your time and donate your services to help so many children in the community.

Hope you all are having a wonderful start to 2018! With the goal of helping you have an amazing first quarter, I’m sharing some Marketing and Practice Management tips & ideas that you can use during the month of February.

February is American Heart Month so Our focus this month is Heart Health.

Heart Health Talking Points:

Dental Health And Heart Disease Are Related -Dental health and heart disease are intricately linked and the cost for avoiding advanced periodontal disease or even something as mild as gingivitis may very well prove to be the cause of serious medical problems in the future.

Be good to your heart beginning with good oral health.

 Special Days:

Women’s Heart Week: 1-7 – Focus this week on Women’s Heart Health. Have a special gift for your female patients. Hand out heart-healthy tips for your patients to share w/their friends and family.

Tip: If you’re not currently taking your patients’ blood pressure at their appointments… make it a goal to start during the month of February.

Many people see their dentist more regularly than a physician and could get an early warning about high blood pressure when getting their teeth cleaned or having other dental treatment done.

 Pet Dental Health Month – Share pet dental health tips on your social media sites, ask people to share pictures of their pets on social media, hand out dog treats packaged with your office information. Even if a patient doesn’t have a dog surely they know someone who does…great way to get your office name out there!

National Eating Disorders Awareness Week: 25-3/3 – Educational Opportunity – share on your blog and on your social media pages the impact eating disorders have on your oral health.

International Boost Self-Esteem Month – 

For your team: Negative people are the greatest destroyers of self-confidence and self-esteem. Avoid office negativity, it’s toxic and will infect your team – Rather, focus on and share positive experiences. See: How to Have a Happier Team

Dental Tips and Ideas for your Local School District

Hello Friends,

With the back-to-school season in full swing, there is no need to wait until February’s Dental Health month to reach out to the local schools in your neighborhood, start early in the school year building relationships with school staff & the families that attend these schools.

Here are just a few easy, inexpensive & effective ways for your dental office to reach out to your local schools.

Dental Tips and Ideas for Schools

Gifts for School Staff – Choose one, two, or more schools (depending on the size of the teaching staff) and deliver some treats to show your appreciation for the work they do in caring for the children in your community. Some ideas: Breakfast, Lunch, Snacks, Toothbrush goodie bags, Lip balm, etc. Be sure that your office information is clearly imprinted on any toothbrushes or small gifts. and/or

Host a Favorite Teacher Contest  – Invite local students to nominate their favorite teacher. Winning teacher gets FREE teeth whitening and a certificate stating they won for the favorite teacher contest. The classroom with the winning teacher gets a gift card for school supplies or pizza/ice cream lunch.

You could easily ask for donations from local businesses to add to the winning teacher’s prize or for the classroom.

This can be promoted via your office website, newsletters, postcards, emails, office social media sites, local newspapers and signs in your office.

Have fun with it and be sure to share lots of pictures on your social media pages.

Donations – Use your office as a community donation site for school supplies or new & gently used books to be donated to local children and/or schools in need. Advertise in office, on your social media sites, to local businesses and the news media via press release that your office is collecting donations for school supplies or books.

This is a GREAT way to bring in potential new patients… when folks come into the office to drop off their donations, be sure to warmly welcome them, give a brief tour of the office, hand out small thank you gifts that are imprinted with your office information or have a raffle they can enter to win a prize.

Book Fairs – Many schools will be hosting book fairs this school year.  And if your local school(s) are anything like mine, these book fairs draw a very large crowd.

Create fun, interesting Bookmarks for your local schools that include your office contact information. Deliver these bookmarks as a gift to the local schools to use during their book fairs. Easy! Right?

Just a few more ideas…

Social Media Sites  Post school-related content to your social media sites, such as:

  • Back to School Tips
  • Healthy Lunch/Snack ideas
  • What to do in a Dental Emergency?
  • Ortho care while at school
  • Dental Health (importance of, regular check-ups, sealants, mouthguards, fluoride & braces)

Give-Away – Or have a school-themed gift that you’ll raffle off.  Promote via your social media sites. Allow for your current patients and potential patients to TAG their favorite teacher in the post for a chance to win the gift. Encourage them to share the post on their pages.

Tooth bags Make up a little bags or boxes with a “congratulations on your lost tooth” message from your office with space to write the child’s name. Deliver these to local elementary schools for them to keep on hand for when a student loses a tooth during the school day. Both of my kids have come home with a tooth wrapped in a napkin or in a plain Ziplock bag. Why not take advantage of this opportunity to advertise your office?

Dental Tips and Ideas for National Apple Month

This post isn’t about planting apple trees, it is, however, about planting dental marketing seeds during October’s National Apple Month. We’re going to use apples as our dental marketing seeds. 

Here are some dental tips and ideas to help your dental office celebrate apple month!

Exceed Patient Expectations – 

Give-Away – Set out a nice bowl/basket of apples to give to your patients’ and delivery people.

Gift Basket Drawing – Make an Apple tree and every time a patient comes in for an appointment during the month you add an apple with their first name on it (full name on the back) and use it for a drawing to win an apple themed gift basket filled with goodies.

You could even promote that via your social media sites. (Perhaps extend the drawing to new office Facebook likes.)

Events in the Community – Create a hand-out for your patients listing the best local cider mills and apple orchards. Include any fall-themed events taking place in your community. 

Marketing to local businesses –

Who will you visit in the community?

  • Schools
  • Salons
  • City Hall / Police Station / Fire Department
  • Library

And anywhere else you think might be a good place to bring in new patients from. At the very least, you’ll be building healthy & fun relationships with the folks in your community.

What will you bring?

  • Basket of Apples
  • Donuts and Apple Cider
  • Apple Pie
  • Toothbrush or Lip Balm attached to an apple-shaped gift tag.

Be sure that when you deliver these items, your office information is visible. Maybe include some sort of call to action special offer.

An apple a day won’t keep your dental office away!

Marketing via your Social Media Sites: Here are just a few ways to utilize your social media sites during apple season.

Facebook –  

Post the dental health benefits of apples, apple recipes, & craft ideas to your office Facebook page. Solicit comments, likes, and shares.

Invite your patients to:

to post a picture of them apple picking or at a cider mill onto your office Facebook page.

(Have your team members do this as well.)

Team Building Activity – Get your team together to make apple sauce, apple pie filling, caramel sauce, or an apple/cinnamon sugar scrub. Put it in little jars with a ribbon and label with your office information. You can then give away as gifts to your new patients and or referring doctors/specialists. How fun is that?!

So many different ways to help exceed the expectations of your current patients and to hopefully, bring in many new patients just by planting little seeds every chance you get or create.

Dental Tips and Ideas for the Month of September

Hello Friends,

For many dental offices, September is a slow month. Even for some of the offices that start the month with a full schedule report that as the month progresses the schedule tends to fall apart. There could be many different reasons why this happens every September. Perhaps for some, it is because families are still adjusting to the back-to-school schedules and don’t want to bother adding a visit to the dentist to their already too-hectic days. Whatever the reason, it hurts to have holes in the schedule. Yet, I have some offices that tell me September is always a great month for the schedule and production. I want you all to have that same experience. So I will share some tips and ideas with you to help make September a wonderful month.

Dental Marketing and Practice Management Ideas for September

Look at your schedule for September, find any days that have a few holes in them and declare them “special days for parents” or find any old reason to declare them a special day.

Reach out to all of your patients with incomplete treatment plans or that are past-due in hygiene.  Invite them to come in on this “special day” for their dental visit. What about the patients that already have an appointment scheduled? Share the special offer with them too. This will encourage them to keep their appointments!

Offer Incentives: $ off Ortho, Free Adult fluoride w/hygiene visit, Teeth Whitening Specials, % off treatment, etc. This could be a one day only event or you could feature a different service each day of the week.

Gift ideas: Raffle off a Gift basket, Big-ticket item or Gift Cards. Every patient that comes in for their appointment or refers a new patient during the month of September will be entered to win this wonderful prize.

Salons, Massage therapists, Restaurants, etc. may be more than willing to donate gift cards that you can use in a drawing or include in a gift basket that your patients can enter to win.

 Appointment Reminders – September is National Courtesy Month ~ Take this opportunity to remind your patients that: “As a courtesy to our patients we remind you of your dental reservation 1-2 days prior. We kindly request that you try to keep your dental appointments as scheduled. If you do require a scheduling change please notify us with at least a 24 hours notice of your appointment date. Thank you!”

Educational Opportunity – September is World Alzheimer’s Month, use this as an opportunity to educate your patients and the community about the importance of dental health care for Alzheimer’s patients in helping to keep them comfortable and healthy.

Insurance/HSA RemindersSend out your “Use it or Lose it reminder texts, emails, and letters. Pick up the phone and call your patients that have treatment planned, maximum remaining that renews in January but hasn’t scheduled appointments to start/complete treatment.
