The Benefits Of Using A Dental On-Hold Messaging Telephone Service

The Benefits Of Using A Dental On-Hold Messaging Telephone Service

Hello Friends,

Have you ever called a local business and were immediately put on hold only to hear every few seconds this crazy annoying beeping sound or there is dead silence? You can’t tell if you’ve been disconnected or are still on hold. Or what about the business that has a radio playing as their on-hold message, except it’s all static or playing some lame music?

Now, I believe the best customer service is to never put the caller on hold. However, we all know that from time to time it happens. (For how to effectively answer the dental office telephone SEE  How to Effectively Answer the Dental Office Telephone)

dental message on hold telephone service

A while back I set one of my clients up with a message on hold service, created beautiful, short custom marketing messages for them and on the first day of using it, a caller said: “Oh, I didn’t know you do teeth whitening.” See how that works?

Having a quality message on hold system set up is a good thing. Use this service as an opportunity to educate and inform your callers while they are on hold.

Every dental office has information, news, events, or dental health facts and services that should be highlighted while a caller is put on hold.

In addition to playing music, what are some things you can talk about?

  • Special Office Events
  • Dental Services & Products
  • Dental Health Tips
  • Office Hours
  • Social Media Site Information (Invite callers to “like” / “follow” the office.)
  • Financial Expectations
  • Website Address

A message on hold system allows you to advertise to your patients and keep them informed on the latest and greatest office happenings. It will also distract them from the fact that they’ve been put on hold.

Please make sure that you keep your content fresh! One of my doctors offices has had the same on hold message for years!! I think I have it memorized. Blah!

There are many on hold messaging services out there.

My suggestions for what to look for in a message on hold service/system are:

  • Quality Sound & Voice Talent.
  • Inexpensive – You don’t need to spend a lot of money!
  • Helpful – Exceptional Customer Service.
  • Allows you to change your message and music throughout the year.
  • Doesn’t lock you into a long contract.
  • Will help you create effective messages.
  • Makes the setup and process easy on you and your team!
  • Allows you to listen to sample messages before buying.

And if you want my specific recommendation, it is Captive Audience. After much research, this is the company that I have found to meet my requirements and exceed my expectations. (See below for more information about Captive Audience)

Have you ever called your office and were put on hold? I know your patients and potential patients have, what are they hearing or not hearing? Make the time they’re on hold count!

Those are my thoughts on using a message on hold service.

Since we’re talking about putting callers on hold, might I add, never, ever answer the phone with “hold please” or “can you hold?”! Take a quick second, find out who they are and what they need. People prefer not being put on hold.  If you are habitually needing to put callers on hold, you need more people answering the phones.

Employee Conflict Resolution & Communication Improvement Opportunity:

Workplace Conflict Awareness Month This topic should be discussed at a team meeting. Why? Conflict Happens! Make a plan and an agreement as to how all office conflict will be addressed and resolved.

Steps to deal with office conflict:

  1. Calm down and talk with the other person. (Don’t go to anyone else to discuss the conflict)
  2. Attack the problem, not the person. Focus on behaviors and events.
  3. Listen carefully – listen to understand and not to be understood.
  4. Brainstorm solutions with a focus on the future, what it will take to move forward.
  5. Celebrate your Success.

For additional ideas visit Forbes.com for 5- Keys to Dealing with Workplace Conflict.

To manage conflict, excellent communication is essential.

Communication  –

  • Job descriptions and expectations must be clearly defined. This is a great time to ask every team member to write a list of their description and responsibilities. Have them indicate next to each task how often it is done (daily, weekly, monthly, yearly, varies, etc.). This will help you determine if and when and by whom these tasks are being accomplished. You might find some important tasks are not being done at all or not often enough and so on.

  • Team Meetings/Morning Huddles are essential for a happy and smooth work day. Visit HERE for some tips on how you can have a successful morning huddle.

  • Address quickly any needed discipline or correction, don’t wait for a staff meeting to address these problems. Instead, meet one on one with the offender.

  • Avoid office negativity, it’s toxic and will infect your team – Rather, focus on and share positive experiences.
  • Your team must know the why, what, and how. They may know the what and the how but not the why, often times, this is why employees are there just to collect a paycheck. Talk about what you believe and attract those who believe what you believe. People buy the why not the what.

Positive Gossip Only! Entire team agrees to stop gossip. Refuse to listen to it. Rather, encourage the person to go directly to the other person they have an issue or complaint about. Unless of course, they can let it go and move on

Hygiene Continuing Care/ Recare Opportunity:

Cleaning For A Reason Week: 18-24 – Send out email & text reminders to your patients that are due/past-due for their hygiene visit. Time for their Spring Cleaning! The “reason”? For their health’s sake – or, consider donating a portion of the production to a local charity.

Community Involvement Opportunity:

Community Spirit Days (1-30) – What a great opportunity for your office to get involved in the community. Check your city’s event calendar for events and activities.

Are there any charity/sporting/community events that you and your team can participate in or sponsor?

Be sure to share a variety of local community events on your social media sites. This will encourage your patients to look to your office page to learn what’s going on in the community.

Host a:

  • Spring Perennial Plant Exchange
  • Book Drive
  • Canned Food Drive
  • Aluminum can tabs for the Ronald McDonald House

Be sure to send out press releases and share on your social media sites what you’re doing to help your community.

Dental Patient Of The Day Ideas

Dental Patient Of The Day Ideas

Hello Friends,

Loyal patients return year after year, accept your treatment recommendations and refer their friends, family, neighbors and co-workers. Sounds great, right?

The best way to fill your dental office with loyal patients is to consistently exceed their expectations. There are many ways to exceed expectations. Today, I’m sharing a simple idea on how to do this.

Selecting a patient to be your “Patient of the Day” (or, guest of the day), is something totally unexpected but so appreciated. It’s a super way to get your patients talking about your office after they leave from their appointment.

dental-patients-of-the-day-ideas

How do you select your patient of the day? That’s easy, you don’t really need a reason other than “just because” but if you want one, here are some ideas:

  • Always on Time
  • Youngest Patient
  • Recent Referral
  • New Patient
  • No Cavities
  • Brand New Smile
  • Recent Accomplishment
  • Quit Smoking
  • Great Personality (Brightens your day)
  • Always Brings Treats

What do you give to your Patient of the Day?  Here are a few ideas:

  • Certificate
  • Gift Card
  • Coffee Mug/Water Bottle (Imprinted)
  • Candle
  • Plant/Flowers
  • Stuffed Animal/Toy

For more patient gift ideas, see: Patient Appreciation Gifts

Keep it simple and convenient. Prepare the gifts and certificates in advance.

Capture the moment! Create some “Patient of the Day” signs (consider including your office name on the sign) that the patient can hold for a picture that you will share on your social media pages. A team member or members may also be in the photo. Ask the patient to tag themselves in the photo.

Choose your patient that day during your morning huddle, or review the schedule a week in advance and select them for an entire week. Whatever works best for your office. Just be consistent, be enthusiastic and have fun with it. This is such a simple way to make their day!

Dental Marketing and Practice Management Ideas for February

Dental Marketing and Practice Management Ideas for February

Hello Friends,

Hope you all are having a wonderful start to 2017! With the goal of helping you have an amazing first quarter, I’m sharing some Marketing and Practice Management ideas that you can use during the month of February.

dental marketing ideas from betty hayden consulting

February is American Heart Month so Our focus this month is Heart Health.

(Note: If you’re looking for ideas to promote February’s Children’s Dental Health month and Give Kids A Smile Day please look to this post: Children’s Dental Health Month & GKAS Day)

Talking Points:

Dental Health And Heart Disease Are Related

Dental health and heart disease are intricately linked and the cost for avoiding advanced periodontal disease or even something as mild as gingivitis may very well prove to be the cause of serious medical problems in the future.

Be good to your heart beginning with good oral health.

 Special Days:

Women’s Heart Week: 1-7 – Focus this week on Women’s Heart Health. Have a special gift for your female patients. Hand out heart healthy tips for your patients to share w/their friends and family.

Tip: If you’re not currently taking your patients blood pressure at their appointments… make it a goal to start during the month of February.

Many people see their dentist more regularly than a physician and could get an early warning about high blood pressure when getting their teeth cleaned or having other dental treatment done.

Have fun with this heart theme!

If you would like me to create a Heart Health marketing campaign for your office, one that includes ideas for special offers, patient give-aways/drawings, community involvement, cross marketing with local businesses and patient education scripting, please contact me today at bhaydenconsulting@gmail.com

Here are 3 More Ways To Help Your Team and Patients Smile in February!

Random Acts of Kindness Week 12th-18th – Offer a complimentary service to your patients or $ off of their bill.

Pet Dental Health Month – Share pet dental health tips on your social media sites, ask people to share pictures of their pets on social media, hand out dog treats packaged with your office information. Even if a patient doesn’t have a dog surely they know someone who does…great way to get your office name out there!

International Boost Self-Esteem MonthFor your team: Negative people are the greatest destroyers of self-confidence and self-esteem. Avoid office negativity, it’s toxic and will infect your team – Rather, focus on and share positive experiences. See: How to Have a Happier Team

For your patients: A beautiful & healthy smile can boost one’s self-esteem and confidence.
