Dental Practice Management Tips and Ideas for January

Hello Friends,

“Approach the New Year with resolve to find the opportunities hidden in each new day. ”    ~ Michael Josephson

December is a great time to find and create opportunities for growth in the New Year. Make your to-do list for any wanted and needed improvements to your office including setting your production, collection, treatment, continuing education, and new patient goals for the new year. Do include your team in this plan, ask them what their ideas are to make 2018 a more productive and happier year for all! People are more likely to support that which they help to create.

NOTE: I have a new website! – please follow my blog HERE as I will soon discontinue using this site. Thanks!

Here are some Practice Management Tips and Ideas to get you started:

January Practice Management Ideas from Betty Hayden Consulting

Hygiene Continuing Care & Incomplete Treatment:

Insurance Maximums: Many of your patients’ dental insurance maximums renew on January 1. Phone your patients with a friendly reminder of their renewed benefits and make a reservation for them to come in for their hygiene visit or incomplete treatment with the doctor. Include reminders on your social media pages.

Inactive Patients: It doesn’t help anyone to have a file cabinet or computer full of inactive patients – Get them on the schedule. January is a great time to send We Miss You Reactivation Letters to your patients. For a sample letter, please email me at bhaydenconsulting@gmail.com.

Hygiene Patients: Are you pre-appointing hygiene visits? If not, January is a good time to make this a goal for the office. While you have the hygiene patient in the office, schedule their next 3, 4, or 6-month visit. Avoid saying “would you like to schedule your next appointment?” Some will say no. So instead, say this: “Let’s go ahead and schedule your next visit.” Assume they want to schedule their next visit. By the way, your entire team needs to be on board with pre-appointing your patients. It can be done!

If you’re struggling to have a productive and effective hygiene department – I can help you with this.

National Clean Off Your Desk Day: Jan. 8th ~ Clutter represents indecision. Make a decision to get rid of the clutter! That includes any sticky notes attached to computer monitors, coats/sweaters hanging on the backs of chairs, and fast-food drink containers sitting out on the counters. While you’re at it, go ahead and attack the cabinets & closets. Say goodbye to the clutter!

National Compliment Day: Jan. 24th ~ Compliment a fellow team member when you catch them doing something “right”. Compliments boost morale.  (Tip: You don’t need a special day to do this, everyday compliment & reward the behavior and actions that you want to see more of. )

There you have it, a few dental practice management tips and ideas for January. I hope that you find them helpful. What are your goals for 2018? I would love the opportunity to work along with you and your team to help you set, and exceed your practice goals. If you would like to set up a complimentary telephone consultation, please email me at bhaydenconsulting@gmail.com.

Ideally, daily, weekly and monthly efforts should be made to develop and maintain relationships with your patients in order to keep them active. The following letter can easily be customized to your practice:

Please call xxx xxx today to reserve your appointment and to take advantage of our “let’s get re-acquainted” offer:

Practice Management Ideas ~

Let’s start with your existing patients active and inactive…

Hygiene Continuing Care & Incomplete Treatment:

Insurance Maximums: Many of your patients dental insurance maximums renew on January 1. Phone your patients with a friendly reminder of their renewed benefits and make a reservation for them to come in for their hygiene visit or incomplete treatment with the doctor.

Inactive Patients: It doesn’t help anyone to have a file cabinet or computer full of inactive patients – Get them on the schedule. January is a great time to send We Miss You Reactivation Letters to your patients. For a sample letter visit this post: Reactivation Letter

Instead, say this: “Let’s go ahead and schedule your next visit.” Assume they want to schedule their next visit. By the way, your entire team needs to be on board with pre-appointing your patients. It can be done! 🙂

Thank God It’s Monday” Day: 4th – Are Mondays typically bad days in your office? Starting in January, change that pattern. These ideas may help you start liking Mondays: How To Love Monday

Next, we have few internal and external marketing ideas, some are educational and some are just for fun. Both are presented to exceed your patients expectations, help to create value for better dental health and get them talking about you to their friends, family members, co-workers and neighbors.

Marketing Ideas ~

I’m Not Going To Take It Anymore Day: 7th – This is a wonderful educational and marketing opportunity:
I’m not going to take my…”Crowded Teeth”,“Yellow Teeth”,“Bad Breath”,“Sensitive Teeth”,“Snoring”,“Headaches”, anymore! – Show your patients how you can help.

Jan 11 – Cigarettes are hazardous to your health day.
Promote the Smoking Cessation Programs your office offers. Keep track of your patients that are trying to give up cigarettes and be sure to celebrate your successful “quitters”!

Just for Fun Ideas:

National Soup Month and Soup Swap Day – January 16th.
Try this:
– Team Building Opportunity: Each team member brings in a slow cooker of soup. Enjoy a nice lunch together.
– Swap soup recipes on your social media sites or in the office.
– Delicious idea for Winter: “Warm-Up Wednesday’s” Set up a slow cooker with soup or chili every Wednesday for your patients to enjoy. (Have recipe cards ready to share) Your patients will love the free food.

January 29th – National Puzzle Day – You can purchase puzzles at your local dollar store and give away to your patients as unexpected gifts. Tie a ribbon around the boxes and attach your business card or office information to it. Even if your patient doesn’t want the puzzle, they can give it away as a gift on your behalf to their friend, family member, co-worker or neighbor.

This one is my favorite idea for January…

National Hot Tea Month

Educational & Service Opportunity:

Drinking teas such as green tea can be very good for one’s dental health.

Does Tooth Sensitivity hold some of your patient’s back from enjoying their favorite hot beverage? Show them how you can help relieve/eliminate tooth sensitivity. This will give a nice boost to your production too!

Remaining Dental Insurance Maximum Letter – Use It or Lose It Reminders

Hello Friends,  (this is an updated version of some idea’s I shared last year)

hayden consulting insurance maximum renewal letter

Do you have any patients due for their hygiene visit and/or with treatment that is yet to be started or needs to be completed and their remaining dental insurance maximums are getting ready to expire?

Time to remind them to Use it or Lose it! – Get your letters, emails and text messages out to your patients reminding them to use any insurance benefits they have remaining for the year to complete any needed treatment or for their continuing care hygiene appointment before they lose them.

Some offices choose to mail these letters out in September. I think October works very well too.  The closer it gets to the end of the year the more difficult it becomes to get them to schedule.  Don’t worry if you haven’t yet mailed out letters, there is still some time…but, I would do it asap 😉

Your goal is to get them from the filing cabinet/computer to the schedule!

Personalize  – When mailing out remaining maximum letters, be sure to customize for each patient according to their treatment plan. This will help to re-create the urgency and value for treatment.  For some patients, it will take some type of additional incentive to get them to act. Perhaps, include a gift certificate for $ off of their treatment if it’s completed and paid for by December 31st. Not redeemable for cash.

Here is a Scripting Idea:

2016 is just around the corner! We want to remind you to take advantage of any unused dental insurance benefits. Make sure to use all available benefits to complete any outstanding treatment or for your all important preventive dental hygiene appointment. Almost all plans do not let you rollover unused dollars to the next benefit year. So, Use ‘Em or Lose ‘Em!

If you have funds set aside in a flexible spending account (FSA) or healthcare saving account (HSA), now is the time to schedule treatment so your co-payment amounts can be applied to this year’s deductions.

Call us today to schedule your appointment. We find that the holiday season is always our “busy time” and we are certain it is a very busy time for you too.

Beat the end of year rush and get in early, our phone number is ………

We’re ready to help you smile healthier & happier in 2016!

Take this opportunity to add a P.S. message to the end of your letter, telling your patients all about your specials on teeth whitening. Many people at this time of year are looking to whiten their teeth for their end of year celebration family photos,  or to buy gifts for family and friends.

For example…

P.S. Now is a great time to whiten & brighten your smile for your end of year celebration photos. We have some fantastic whitening specials! Teeth whitening also makes a wonderful gift.

P.P.S. Did you know we are on Facebook & twitter? “Like” us on Facebook at … and “follow” us on twitter at …- This way you can stay up to date with all our office events & news plus have a chance at exclusive offers & contests.

Mailing Tip –  Use a bright-colored envelope and neatly hand-write the name and address. Use a “live” stamp.

Phone Calls – About a week after you mail out your letters, go ahead and start calling them to see if they received the letter and to schedule them an appointment.

Document – Be sure to document that a letter was mailed, phone calls were made and what type of response you received from each patient.

Important Reminder – Before sending out these letters and making calls to your patients be sure to review your upcoming appointment schedule… Where is your open chair time? Will pre-blocking some open time be helpful? Also, before scheduling last minute appointments that require lab work, be sure to communicate with your lab guy/gal that they can in fact, get these cases back to you in time.

Wishing you all a full schedule for the end of the year!
